Cashier/Data Entry Clerk

Position Summary:  This position provides cashier and data entry support to the Coordinator of Resource Development Operations as well as other related institutional advancement projects.

Classification:  Hourly, Part time, 19 hours a week, no benefits

Reports to:  Director of Development

Qualifications and Job Experience:

  • Highs school diploma required; additional business or college coursework helpful.
  • 2 years of previous office and clerical experience.
  • Computer systems experience related to sales/gift tracking (ACT or Banner software) desired.
  • Ability to use Microsoft applications, databases, spreadsheets, and word processing required.

General Duties:

  • Updates, tracks, and maintains the gift reconciliation tracking sheet.
  • Accurately codes incoming gifts for the gift processors.
  • Using donor tracking software, indexes daily gifts, pledges, and maintains and updates constituent information.
  • Prepares custom and standard formatted program reports.
  • Provides general clerical support which includes answering phones, filing, distributing incoming mail, and opening incoming gift envelopes.
  • Performs other duties assigned.

Administrative Assistant for the College of Graduate Studies, Lincoln Campus

Position Summary:  The position is responsible for customer service delivery and is the initial point of contact for prospective and current students in the College of Graduate Studies.  This position requires collaboration with graduate office staff and faculty, primarily program directors, to ensure superior student customer service.

Classification:  Hourly, full time, 12 month position with benefits.

Reports To:   Associate Provost

Qualifications:

  • High School Diploma required.
  • General office experience, with reception duties in Higher Education setting preferred.
  • Ability to work with Microsoft applications.
  • Familiarity with enterprise-wide software systems.
  • Excellent oral and written communication skills.
  • Understands customer service principals. 

General Duties:

  • Greets the general public, students, faculty, and staff to the Graduate College/Lincoln Campus.
  • Works with others in the College of Graduate Studies (CGS) office to meet student, instructor, director, and program needs in a timely way.
  • Initial contact for the general CGS phone line, responsible for fielding calls and filtering them to the appropriate department(s).
  • Assists with the maintenance and organization of student files, for admission and academic purposes.
  • Maintains Astra schedule for academic classes, includes helping with classroom setup.
  • Assists with scheduling of events at the Lincoln Campus.  Provides backup for events and maintains the events calendar.
  • Maintains the Fallbrook building key card access.
  • Maintains a professional work environment to include a welcoming front desk, the stocking and display of marketing materials, and purchases/organizes general office supplies.
  • Maintains all aspects of the Lincoln Campus mail, including interoffice mail and US postal service mail.
